The Edith Cowan University Student Guild is looking for a dynamic, passionate individual to join our team as Human Resources & Administration Officer. (Part-Time, 0.6 FTE)

  • Advertised Salary is the full salary for the part-time hours as presented.
The ECU Student Guild is an independent not for profit organisation representing the interests of ECU Students across all three campuses. We are a small team of operational staff and a student led Senate, supporting approximately 25,000 ECU students independent to Edith Cowan University.

Reporting to the Operations Manager, this part-time position provides effective administrative support relating (but not limited to) financial process, payroll administration, HR administration, Occupational Health & Safety Administration & Support and general administrative support services.

Key Responsibilities:
Corporate Administration:
Provides administrative support to ensure efficient operation of the Guild.
Prepares and edits correspondence, reports and presentations as required by the Operational Executive.
Undertakes projects and conducts research as required by the Operational Executive.
Supports and performs administrative requirements for various committees and/or meetings as required.
Provide general administrative support to the Operations Manager.

Human Resources and OHS Administration:
Maintain personnel records.
Supports recruitment and selection related administration including advertising, scheduling of interviews, liaising with applicants and obtaining referee reports.
Coordinate and manage on-boarding and off-boarding processes for employees, Senators, contractors, volunteers and temporary staff including coordinating inductions where required.
Monitor and track completion of activities such as induction programs and probation reviews.
Coordinate processes, documents and records for employee movements and changes including producing and updating Organisational charts and maintenance of the HR Administrative Support Program.
Coordinate training and development requirements, make course bookings, liaise with attendees and facilitators and manage and track attendance and completion including maintaining records of training.
Prepares and edits HR documents.
Processing of Payroll in collaboration with the Business Support and Finance Manager.
Coordinate administration of Work Health and Safety matters and related activities, including collaborating with the designated Health and Safety Representative, maintenance of hazard registers and incident reporting procedures.
Ensure all plant and equipment is properly maintained, tested and tagged
In collaboration with the Health and Safety Representative, ensure adherence to OSH policies and procedures across all 3 campus sites Joondalup, Mount Lawley and Bunbury, including regular site visits and assessments.
Liaise with ECU Departments in relation to on-boarding and off-boarding of staff and Senate and Occupational Health & Safety matters.

SELECTION CRITERIA:
Qualifications

Diploma of Human Resources or equivalent qualification/experience.
Experience in general administration, reporting and document management.

Essential

Demonstrated experience in developing and delivering a diverse range of effective administrative services in an agile business environment.
Demonstrated and comprehensive proven application of OSH administrative processes, evaluation and reporting duties.
Proven knowledge and experience in general HR administration duties.
Ability to research, evaluate and submit continuous process improvement best practice initiatives to align with changes in related service delivery.
Demonstrated time management and organisational skills, and ability to manage a high volume of tasks and competing priorities in a structured manner to ensure timeline adherence.
Well-developed communication skills, and ability to interact positively with a wide variety of stakeholders with the confidentiality, professionalism and discretion required of HR functions.
Proven understanding of budgeting processes, general accounting practices and cash float reconciliation.
Demonstrated advanced verbal and written skills, and ability to effectively adjust communication and listening styles to interact clearly and concisely at all levels across a diverse member base.
Advanced proficiency in the Microsoft Office suite of products and, experience using online support programs.

Desirable

Experience using Employment Hero.
Experience using Xero accounting system.

Other Position Requirements

Current C class driver's license
Able to attend the Guild's offices at Joondalup, Mt Lawley and Bunbury campuses to ensure consistent Guild business continuity.

Whilst the position is primarily based in Joondalup, the candidate would be required to travel between the Guild’s other offices at Mt Lawley and Bunbury as required, to ensure consistent business continuity.
