About the role:


Reporting to the People & Culture Manager, you will provide administration and coordination support to the People & Culture team including, but not limited to, managing all field-based recruitment, managing the employee onboarding and off-boarding processes, providing frontline advice and support to managers, document creation and management, reporting, training and development administration and assistance to the Chief People Officer.


Recruitment and onboarding:


  • Work with managers to plan their workforce needs (proactive workforce planning)
  • Source candidates using a wide range of methods and mediums
  • Manage all end-to-end recruitment activities for field-based positions and other allocated positions, from PD creation and job ad placement to interviews and offer
  • Provide administration support through the recruitment and onboarding process for all positions, including phone screens, booking interviews, conducting interviews, and pre-employment screenings (reference checks, medicals, driver assessments, police checks, WWCC)
  • Prepare employment contracts and send all on-boarding documentation ensuring completed and signed copies are received and filed


HR coordination:


  • Assist in the implementation, and then manage and maintain our HRIS, ensuring data accuracy
  • Manage all People & Culture documents and the document register including forms, checklists, policies, procedures and templates and ensure they are all formatted in the correct manner and are reviewed periodically
  • Book and record employee training (internal and external training)
  • Administer our Learning Management System - developing and allocating modules, reporting and account re-sets etc
  • Administer cyclical HR processes (e.g. performance reviews, remuneration reviews)
  • Maintain the HR email Inbox, taking the lead in responding to, and filing emails and documents, as needed
  • Run reports using our learning management system (Litmos) and other systems, creating accurate and well-presented spreadsheets for review by the senior executive team
  • Provision of administrative support to the Chief People Officer including drafting letters, creating spreadsheets, organising meetings, mail outs, processing invoices, sending emails and calendar management assistance


Essential skills and experience:


  • At least 3-4 years' experience in a fast-paced HR Coordinator role, in addition to HR Administration experience
  • Strong demonstrated experience in the full-cycle recruitment and selection process
  • End to end high-volume blue-collar recruitment experience
  • Exceptional administrative, organisational and time management skills
  • A good understanding of HR practices and principles, or the desire to learn
  • Intermediate to advanced skills in Word and Excel and documentation management
  • Proven ability to manage multiple tasks/projects in a fast-paced environment
  • High level of attention to detail
  • Ability to build rapport and maintain effective relationships with internal and external customers;
  • Excellent interpersonal, team building and communication skills;
  • Prior experience managing low level ER matters and providing advice to managers
  • A good understanding of HR practices and principles, including employment legislation and EBAs


Qualification:


  • Degree in Human Resources, Psychology or similar is highly desirable
