Role Summary  

This role is responsible for the assistance on the administration of Payroll and Benefits for all Medidabrands business units and employees. You will be assisting the Payroll Manager to facilitate the preparation and payment of salaries and maintenance of related employee and payroll records. 

You will be providing consistent and high-level payroll support to employees and management as well as managing at least one end-to-end outsourced Australian payroll per month (mid-month cycle and off-cycle) and maintaining employee and company data in HRLink (Global HRIS). 

Key Responsibilities:  

  • Maintain employee and company data in HRIS. This includes working with the business and HR team to ensure that data entered into HRIS (Job Requisitions, Hire Data, Organisational Hierarchies, Terminations) is accurate and up to date
  • Audit report of HR link changes / additions
  • Manage the coordination of the outstanding leave balance report with Finance Managers
  • Liaise with outsourced payroll provider in setting up new employees and communicate relevant information to other business services areas such as Production Support and HR
  • Assist Payroll Manager with reviewing of the monthly/off-cycle payroll run as required, prepared by outsourced payroll provider, and confirm accuracy
  • Run the AL and LSL report immediately following the final mid-cycle payroll
  • Run the Month-end process: Month-end Standardised Reporting Pack
  • Assist in the processing of paid parental leave
  • Reconcile payroll superannuation payments and authorised payroll deductions
  • Liaise closely with People & Wellbeing – Human Resources to ensure compliance with company policies and procedures 
  • Assist in monitoring policy and legislative changes impacting payroll and ensure compliance in areas relating to payroll legislation
  • Assist in documenting and maintaining payroll processes and procedures and ensuring compliance 

Skills Required  

  • Experience working in an accounts/payroll function/team 
  • Experience working in professional services or within a shared services department is preferred. 
  • Experience with systems administration is highly desirable. 
  • Demonstrated knowledge of payroll systems and processes and proficiency in systems use 
  • ADP Global View - system experience preferred 
  • Outsourced payroll experience preferred 
  • Intermediate Excel skills – Pivot Table and VLOOKUPS are essential 
  • Attention to detail 
  • Problem-solving skills using creative solutions 
  • Ability to win the confidence of peers and clients quickly 
  • Strong administrative skills 
  • Ability to manage multiple tasks, work under pressure and meet deadlines
