Human Resources Assistant

LEAP leads the world in the development and sale of cloud based legal practice management software for law firms on a Software as a Service (SaaS) model. Our Human Resources department is responsible for helping to shape and deliver the people agenda, making LEAP a great place to work. This includes but is not limited to recruitment, talent management, employee engagement, employment relations and remuneration.

As the Human Resources Assistant, you will be responsible for providing support to the Human Resources team by assisting with various tasks and administration duties regarding human resources activities, policies, processes and procedures. To be successful, you will have high attention to detail, take initiative, be proactive and have a can-do attitude.

What You’ll Do

Recruitment

  • Assist with recruitment, including conducting phone screens, booking interviews, advising candidates of outcomes, conducting reference checks
  • Develop and maintain position descriptions, job advertisements and role-specific interview guides
  • Draft employment contracts for new joiners
  • Maintain recruitment report with relevant details, including referral information and anticipated payment date


Onboarding
  • Effectively onboard new joiners through BambooHR and IT systems in a timely manner, escalating any roadblocks or concerns
  • Organise welcome packs for new joiners
  • Coordinate the probation process, ensuring Onboarding Plans are completed in a timely manner, any performance issues are escalated and final approval for passing probation is sent to the Managers
  • Organise monthly Coffee with the CEO
  • Administer onboarding surveys at the end of week 1 and at month 3 for new joiners
  • Report and analyse onboarding key trends each quarter


Offboarding
  • Effectively offboard employees through BambooHR and IT systems
  • Send termination notifications to payroll in a timely manner
  • Report and analyse offboarding key trends each quarter


Reporting
  • Maintain the Recruitment Report, updating details regarding new joiners, internal transfers, employment basis changes, departures, PIPs, leave balances, additional payments
  • Maintain open roles on BambooHR and draft open roles email for all staff as needed
  • Update and maintain L&D plan
  • Maintain LEAPSTAR nominations and reporting, communication, vouchers and visual displays
  • Update and maintain TV screens across LEAP offices with people updates (i.e. open roles, people movements, Top 5s etc)
  • Weekly people reporting to the Executive team
  • Monthly Payroll reporting
  • Maintain LEAP organisational chart


Communication / correspondence
  • Coordinate and distribute birthday and service anniversary communication and gifts
  • Send notification to Exec team of employee events (i.e. birthdays, anniversaries, last days etc) as they fall due
  • Assist with developing and maintaining content on HR section of the website
  • Draft contract variations and process people movements in relevant systems


General / projects
  • Be the first point of contact for staff on people-related queries
  • Under the direction of the HR Director, purchase employee-related vouchers / gifts
  • Organise Monthly Celebrations and any ad hoc Spot Awards
  • Maintain HR merchandise inventory
  • Ensure accurate maintenance of employee records
  • Assist with HR cyclical activities (i.e. People Pulse, performance and salary reviews, Top 5 bonus reporting etc.)
  • Manage HR collateral inventories

Requirements
  • Degree or Diploma in HR Management
  • Proven ability to work in an ambiguous environment where there’s not always one solution / one answer
  • Proven ability to manage conflicting priorities and deadlines to achieve business outcomes
  • Ability to work in an environment that requires sensitivity and confidentiality
  • Competent in MS Office
  • Experience in a HR Administrator / HR Assistant role (desired, but not essential)
